Messages to your clients

Send a message to one client workspace, a number of them or all your clients, in the bell and in the bar at the top of their workspace, with draft, scheduling, importance, a preview and who has seen it; and which notifications you get yourself.

DocumentationMessages to your clients

Under Messages to clients on Agency (/agency/<your-agency>/announcements) you send a message to your client workspaces. It appears in the bell and in the bar at the top of their workspace, until the end date. It is one-way: anyone who wants to respond does so via the support window. What that bar looks like and what else it shows is in The bar at the top of a workspace.

The screen is for those who may set up client workspaces: owner and administrator.

The list

On the left are your messages with their state: draft (the client does not see it), scheduled (starts on a date), visible or expired, with to whom, the importance, until when and how many client workspaces have seen it. A client workspace counts as seen as soon as someone from the client itself opens the bell there; a colleague from the agency or Denkploeg staff does not count, and the agency's own workspace is not a recipient. On the right is the chosen message with its preview. Copy to new sets an expired message up again without retyping; Withdraw removes a message from the bell and the bar at once.

Writing a message

New message opens the editor, with the fields on the left and how your client sees it on the right, in dark and light, while you type.

FieldWhat you choose
To whomAll client workspaces, or a chosen number with search and counts.
The messageTitle and text in Dutch; English is optional. Without English text, clients with an English workspace read the Dutch.
ImportanceFor your information can be dismissed by a client. Important stays at the top and cannot be dismissed. Use it sparingly.
When visibleFrom (empty means immediately) and until and including, with quick choices. At most 90 days.

Save as draft saves without showing it. Schedule the message makes it appear on a date; until then it can be edited. What was already visible can no longer be changed: withdraw it and create a new message. A withdrawn message does not come back. Who a message goes to is fixed once it is saved. An agency sends at most 20 messages per 24 hours (a message to several workspaces counts as one) and keeps at most 25 drafts.

Adding an email

Tick Also email the owners and the message also goes by email to the owners of the chosen client workspaces, under your agency's name. The counter says how many people (a person who owns several client workspaces counts once). The email never goes to an address you type yourself: the recipients come from the client workspaces' data. A paused or archived client workspace gets no email.

An email goes outside Denkploeg and cannot be recalled. That is why the button is then Sign and send: the message becomes a draft, the client sees nothing, and the agency owner signs with a code in To sign of the agency's own workspace. Only then does the message appear in the bell and the email go out. If anyone edits the draft after the proposal, the signature lapses and you ask again; what was signed is always what is sent. The list says whether the email is waiting for a signature or has been sent, and to how many owners. An email goes to at most 200 owners per message and an agency emails at most 5 messages per 24 hours.

Notifications

On the Notifications tab you choose per event (the cap, a full number of seats, something waiting for your signature) whether you want a notification in the bell, by email or both. What the bell always shows live is fixed on. The email goes to the owners of the agency.
