An administrator creates a portal link on the customer record. It grants access only to that customer’s allowed information. Without an account, the customer can view their own appointments alongside project information explicitly enabled by a team member. Appointment dates, times and addresses come from the appointment. Internal notes, other customers’ details and the pipeline remain hidden. The existing quote page retains its own limited quote actions.
Under Files for this customer, explicitly select a suitable library file. Share it with the customer or associate it with one of their appointments. Only active, checked shares appear in the portal. Photos, notes, job sheets and signatures attached to a stop are never shared automatically merely because they exist.
A change to the associated customer or appointment version closes the affected share. Stop sharing revokes access. Changing a file id in a download link cannot grant access to another customer’s file. Each download rechecks the portal link, tenant, customer and current share on the server.
Downloads also pass through the trial gate. Where required, a trial provides only the permitted watermarked, lower-quality version, never silently the original at full quality. An unavailable or disallowed file cannot be downloaded.
A portal link grants access. A new link replaces the old one; revocation and expiry close access. Share it only with the intended customer. The page is read-only, makes no automatic appointment changes and is excluded from search engines. Confirmations, messages and signing a receipt statement use the separate appointment link.
