Your invoices are in your workspace under Manage, Invoices. Every payment to Denkploeg gets an invoice, with Denkploeg as the sender. You change your payment method and VAT details not here but under Subscription.
Only the owner and the administrators of the workspace see this screen. For everyone else the menu item is not there; if they open the address anyway they see a short explanation and nothing is fetched. You only see the invoices of your own workspace.
The list
Each row is one invoice, with:
- the number and the date;
- the description, with underneath what it was about (subscription, credits bought or topped up automatically);
- the amount including VAT, with the amount excluding VAT underneath;
- the type of VAT in words: a percentage (such as 21%), Reverse charged or No VAT;
- the status: Paid, Open (a collection that did not succeed) or Refunded;
- a button for the pdf.
At the top you pick a year; the newest year is open by default, and All years shows everything. Above the list it says how many invoices there are and what you have paid, with what is still open. If there are many, the list shows ten at a time and you show more with a button. On a phone every row becomes a small card, so you never have to scroll sideways.
The pdf
The pdf comes from the server and is downloaded; your browser never reaches our bookkeeping system. If fetching fails, a message says that nothing has changed and that the invoice is also in your email. Every time you open a pdf, it is recorded in your workspace's history.
An invoice that is not there yet
If your payment has arrived but the invoice has not been created yet, the row is already there, with Being created instead of a button. An invoice follows within an hour and comes by email too. So there is never a button that does nothing.
A collection that did not succeed
An automatic debit that did not succeed is shown as Open, with a sentence next to it. Then check your payment method under Subscription.
What Denkploeg itself can see
The list and the totals of all workspaces are Denkploeg's bookkeeping and show only what is on an invoice. If someone at Denkploeg wants to really open an invoice of yours (for example after a question from you), that needs a reason of at least ten characters. That reason and the invoice number go into your workspace's History, with who did it. So you always see it.
